What is Form W-9?
A W-9 is requested by anyone who will report payments to you on a 1099: freelance clients, landlords paying contractors, brokerages and banks. You give the completed form to them. It is not filed with the IRS.
Filling it in: quick tips
- Line 1: your name exactly as on your tax return. Line 2 only if you have a business name or a disregarded entity.
- Line 3a: tick one box for how you're taxed (most freelancers tick Individual/sole proprietor).
- Lines 5–6: the address where you want your 1099 mailed.
- Part I: enter your SSN or your EIN, not both.
- Part II: sign and date. Use Signature and Date in the toolbar.
These tips are a quick guide, not tax advice. The form's own instructions on irs.gov are the final word. Form version: Rev. March 2024, checked October 2026.

Frequently asked questions
Do I send the W-9 to the IRS?
No. Give the completed W-9 to the person or company that asked for it. Keep a copy for yourself.
Should I use my SSN or an EIN?
Individuals and single-member LLCs usually use their SSN. If you have an EIN for your business, the form's instructions explain when to use it instead.
Is my information uploaded?
No. The PDF opens in this browser tab and everything you type stays on your device. Nothing is sent to a server, so your SSN, address and signature never leave your computer or phone.
Is it really free?
Yes. No trial, no subscription, no sign-up and no watermark. You download the finished PDF straight away. (Some “free” PDF fillers charge a small trial fee that turns into a monthly subscription. This one never asks for a card.)
Can I sign it here?
Yes. Press Signature to draw it with your mouse or finger, type your name in a handwriting style, or upload a photo of your signature, then place it on the signature line.
